These events, aligned with YP’s mission to foster professional development and networking, can be funded to help bring innovative ideas to life. IEEE Young Professionals (YP) offers funding to help support events that engage and inspire young professionals across the IEEE community. The guidelines below provide clarity on how to use the funding, what expenses are covered, and what is required throughout the funding process.


Who Can Submit an Event Funding Request?

The eligibility for event funding varies depending on the type of event. Here’s who can apply:

  • IEEE Organizational Units (OUs) and IEEE Young Professional Affinity Groups, excluding Student Branches (SBs) and Student Branch Chapters (SBCs), can apply for Local Activity and Meetup funding.
  • SBs and SBCs are eligible only for STEP funding, and proposals for STEP funding must be submitted by SBs or SBCs as the primary organizers.

What Can/Cannot Event Funding Be Used For?

Event funding is available to cover a variety of expenses that make your event a success. These include (but is not limited to): Venues/Meeting Rooms (Secure an ideal location for your event); Food (Provide meals and refreshments to keep attendees engaged); A/V Equipment (Enhance your presentations with projectors, microphones, and other tech essentials.); Branded Materials (Promote IEEE YP branding with professional materials like banners, shirts, and lanyards.)

While funding is flexible, there are certain restrictions on what can be reimbursed, including: Travel Expenses (Transportation, accommodation, and visa costs are not eligible); Gifts (Any gifts provided to attendees are not covered by the funding); Honorarium/Speaker Fees (Payments made to speakers for their time or services are not eligible for reimbursement).

Types of Funding Available

IEEE YP offers three main types of funding, each designed for different kinds of events to ease the transition from student life to the professional world or encouraging young members to stay involved in IEEE, showcasing the benefits of membership, and providing opportunities to connect with mentors and peers. This support ensures that students don’t feel isolated as they take their first steps into the workforce, reinforcing the value of IEEE as a long-term professional resource. It also enables IEEE members to develop and implement initiatives that cater to local needs, promoting collaboration across various sectors – industrial, academic, governmental, and more – broaden professional scopes, and build connections that may not be possible otherwise. Overall, the funding offers invaluable opportunities for members to exchange ideas, collaborate, and form lasting professional relationships in an approachable setting.

Student Transition and Elevation Partnership (STEP) Funding

  • Maximum award: US$500
  • STEP events help bridge the gap between students and young professionals, showcasing the benefits of IEEE membership and encouraging continued involvement.

Local Activity Funding

  • Maximum award: US$750
  • This funding supports local initiatives, whether technical or non-technical, and encourages collaboration with industrial, academic, governmental, and other sectors.

Meetup Funding

  • Maximum award: US$1,500
  • Ideal for informal networking, this funding helps organize meetups where IEEE members can collaborate, exchange ideas, and build new professional relationships. Meet-ups can also be held alongside larger IEEE events to increase visibility.

    Proposal Endorsement Requirement

    Your event proposal must include a written endorsement from a qualified IEEE volunteer, such as an IEEE Society/Council YP Representative. For example, you can seek an endorsement from the IEEE Photonics Society’s AVP of Young Professionals, Sinan Genc. Endorsement letter templates are available in the proposal application form. Volunteers are encouraged to contact Sinan and the Society’s Young Professionals Advisory Committee (YPAC) for their support to strengthen your proposal. By doing so, members can benefit from YPAC’s expertise and network, which can boost your event’s visibility and ensure it aligns with the high standards expected of IEEE-sponsored activities.

    Funding Cycle Timelines & Deadlines

    The funding process operates in distinct cycles, each with its own deadlines for submission and evaluation. The remaining deadlines for 2025 are:

    • Cycle 2: February 15, 2025
    • Cycle 3: April 15, 2025
    • Cycle 4: July 15, 2025
    • Cycle 5: September 15, 2025
